This Privacy Policy explains how Optiverse AG (“Optiverse”, “we”, “us”) processes personal data when you use our service, visit our website, or otherwise interact with us. This applies to self-service users. Enterprise customers are governed by separate contractual agreements, including a Data Processing Agreement (DPA), which may take precedence over this Privacy Policy.
1. Introduction
Optiverse provides a cloud-based platform for meeting recording, transcription, and AI-assisted collaboration (the “Service”).
This Privacy Policy applies to all users except where a separate agreement with Optiverse AG (such as a DPA for enterprise customers) determines contrary terms.

2. Roles and Responsibilities
To comply with Swiss FADP and the GDPR, we distinguish our roles based on the data processed:
• Optiverse as Controller: For Account and Usage Data (e.g., registration, billing, logs), we determine the purpose and means of processing.
• Optiverse as Processor: For Meeting and Content Data (recordings, transcripts, notes), you are the Controller and we process this data only on your instructions.
• User Responsibility: As the Controller of Meeting and Content Data, you must ensure compliance with applicable laws and provide required notifications/consents to meeting participants.
Optiverse does not determine the purposes for which you process meeting content and does not obtain consents from your meeting participants.
3. Personal Data We Process & Purpose
We process the following categories of data:
• Account & Usage Data: Name, email, organization, authentication logs, billing info
• Meeting & Content Data: Recordings, transcripts, AI summaries, notes, metadata
• Technical & Log Data: IP address, location, browser/device info, performance logs
As a Controller:
• Account & Billing: Performance of a Contract
• Technical Logs: Legitimate Interest (security/stability)
• Product Emails: Consent (can withdraw at any time)
As a Processor:
• Meeting Content: Customer instruction only
4. AI Features and Data Use, Data Sharing & Transfers
• No Training: Meeting and content data are not used to train general AI models or third-party AI models without explicit consent.
• Automated Decision Making: AI is used for transcription and summaries only. No automated decisions with legal or significant effects.
Data Sharing & Subprocessors: Personal data may be shared with subprocessors necessary for service operation (cloud, AI, payment—e.g., Stripe). Subprocessors are contractually bound to data protection equivalent to GDPR/Swiss law. List of subprocessors is available upon request.
Data Location & Transfers: Data is stored and processed in Switzerland or Germany. When transferred elsewhere, appropriate safeguards, such as EU Standard Contractual Clauses (SCCs), are applied.
5. Data Retention, Security, and Breach Notification
Data Retention:
• Meeting deletion: Text (transcript, summaries, metadata) is deleted immediately upon meeting deletion. Video recordings may be kept for 30 days for recovery before permanent deletion.
• Account deletion: Personal data is deleted within 24 hours of closure; video recordings are also kept for 30 days for recovery, then permanently deleted.
Security Measures: We employ TLS 1.3 in transit, AES-256 encryption at rest, strict RBAC and data isolation.
In the event of a personal data breach, we comply with GDPR/Swiss law notification requirements. Regulatory authorities and affected individuals will be notified as required by law, without undue delay.

• Essential Cookies: Strictly necessary for core functionality.
• Functional & Analytical Cookies: Only with your consent via our cookie banner.
• Management: You can manage or block cookies via your browser or withdraw consent in account settings. Blocking essential cookies may impact service functionality.
